Privacy Policy

This policy explains what information Online Ride Booking collects when you visit this website, buy a license, and use the customer portal, how we use it, who we share it with, and the choices and rights you have.

Last updated: June 24, 2026

1. Who we are and what this covers

Online Ride Booking (“we”, “us”, “our”) builds and supports a WordPress plugin for ride booking, dispatch, and fleet management. This policy applies to our marketing website and customer portal at onlineridebooking.com, where we act as the data controller.

It does not cover the separate WordPress sites that our customers run with the plugin. On those sites the customer is the data controller and is responsible for their own privacy policy and for how they handle their passengers’ and drivers’ data. For any question about this policy, contact support@onlineridebooking.com.

2. Information we collect

We collect only what we need to sell, deliver, and support the product:

  • Account data: your name, email address, company name where provided, and password, which is stored only as a salted hash and is never visible to us.
  • License and site data: the license keys we issue and the website URLs you connect them to, so we can manage activations, entitlements, and updates.
  • Billing data: your plan, transaction history, invoices, billing address, and tax details. Full card numbers are handled by our payment processors and are never stored on our servers.
  • Support data: the messages, tickets, attachments, and any details you choose to share when you contact us.
  • Technical and usage data: IP address, browser and device type, referring pages, the pages you view, and similar server logs used to keep the Service secure and reliable.

3. What we do not collect

We do not collect or store your end customers’ booking records, passenger details, or driver locations. That operational data lives on your own WordPress site and connected services. We also never store full payment card numbers, which stay with the payment processor.

4. How we use your information

  • Create and manage your account, licenses, and site activations.
  • Process payments, issue invoices, calculate tax, and prevent fraud and abuse.
  • Deliver plugin downloads, version updates, and security fixes.
  • Respond to support requests and improve the quality and reliability of the product.
  • Send essential service messages such as billing, security, and account notices.
  • Send product news and marketing only where permitted, which you can opt out of at any time.
  • Meet our legal, accounting, and tax obligations.

5. Legal bases for processing

Where data protection law such as the GDPR applies, we rely on these legal bases: performance of our contract with you to provide and support the Service; our legitimate interests in securing, improving, and marketing the product in a balanced way; your consent for optional marketing and certain cookies, which you can withdraw at any time; and compliance with our legal obligations.

6. Payment processing

Payments on our website and portal are processed by third parties including Stripe. When you pay, your card details are sent directly to the processor over an encrypted connection. We receive only a payment token and the result of the transaction, never your full card number. Each processor handles your payment data under its own privacy policy and security standards.

7. Service providers we share with

We do not sell your personal information. We share it only with trusted providers who help us run the business, and only as needed to deliver the Service. These include:

  • Payment processing, such as Stripe, to take payments and prevent fraud.
  • Hosting and infrastructure to run our website, portal, and databases.
  • Email delivery to send account, billing, and support messages.
  • Analytics and error monitoring to keep the Service stable and improve it.

8. Legal disclosure

We may disclose information if we are required to by law, regulation, or valid legal process, or where we believe in good faith that disclosure is necessary to protect our rights, your safety or the safety of others, or to investigate fraud or security issues.

9. International transfers

We and our providers may process and store data in countries other than where you live. Where we transfer personal data across borders, we use appropriate safeguards, such as standard contractual clauses, so that your data keeps a similar level of protection.

10. Cookies and tracking

We use cookies that are strictly necessary for sign-in sessions and security, and a limited set of analytics cookies to understand how the site is used so we can improve it. You can control or block cookies through your browser settings, though blocking essential cookies may stop you from signing in. Where required, we ask for your consent before setting non-essential cookies.

11. Data retention

We keep account, license, and billing records for as long as your account is active and then for the period we are legally required to keep financial and tax records. Support records are kept for a reasonable period to provide continuity of service. When data is no longer needed, we delete or anonymize it.

12. Your privacy rights

Depending on where you live, you may have the right to access, correct, export, restrict, or delete your personal information, to object to certain processing, and to withdraw consent. You also have the right not to receive discriminatory treatment for exercising these rights. To make a request, email support@onlineridebooking.com from the address on your account, and we will respond within the time required by applicable law. You may also have the right to complain to your local data protection authority.

13. Security

We protect your data with encryption in transit, hashed passwords, access controls, monitoring, and regular updates. No system is perfectly secure, but we work hard to keep your information safe and will notify affected users and regulators of a breach where the law requires it.

14. Children

The Service is intended for businesses and is not directed at children under 16. We do not knowingly collect personal data from children. If you believe a child has given us data, contact us and we will delete it.

15. Changes to this policy

We may update this policy as the product or the law changes. The current version is always posted here with the date above, and we will communicate significant changes by email or an in-product notice.

16. Contact

Questions or requests about this policy or your data can be sent to support@onlineridebooking.com, or by mail to Online Ride Booking, Mississauga, ON L5M 0R5, Canada.
