Invoice Details & Sending

The preview is the invoice

The big panel is a live HTML preview rendered from the exact same template as the PDF — company header, bill-to block with the customer's contact details, issue and due dates, the status stamp, and the line items. For booking-backed invoices the line shows the trip: booking number, trip date and time, pickup → drop-off addresses. The totals block breaks out subtotal, tax (with your rate), extra charges like airport fees and tips, any discount, and the total. What you see here is pixel-for-pixel what the customer receives.

Header controls

  • Status badge + Edit Status — move the invoice through draft / sent / due / paid / void by hand when money arrives outside the system (e-transfer, cheque, cash at pickup).
  • Download — the PDF, named after the invoice number.

Emailing the invoice

The Email Invoice card below the preview is prefilled with the customer's address, a subject (Invoice INV-…), and a message composed from the invoice's own facts — issued date, due date, amount; the wording adapts depending on whether it's already paid (receipt tone) or outstanding (payment request tone). Edit anything, hit send: the PDF goes along as an attachment, the invoice is stamped sent, and the send is recorded in the Email Log.

Where customers see invoices

Customers with a portal login find all their invoices under /portal with the same PDF available for download — so "can you resend my invoice?" can also be answered with "it's in your portal."
